Where to find your files in Microsoft 365

Hello guys,

It can be difficult locating files shared with you on Microsoft 365. This is my attempt to ease things for my readers. let us dive in.

1- Files shared in a Team or office 365 Group

As a member of a team in Microsoft Teams or Microsoft 365 group member, you can view shared files under the files tab of the respective team. Although you can access the files with Teams, please note that the files are not stored in Teams but Sharepoint.

On Microsoft Teams, select the team tab > select the team > click on the file tab to view the file

You can also open the file in the associated Sharepoint site by clicking on “Open in SharePoint”.

2- Files shared in a Private Chat and Group Chat(GC)

A GC is a private chat with more than one person. The maximum number of people in a GC is 250. Unlike Microsoft 365 group and a team in Microsoft Teams, files shared with you in a GC is stored in Onedrive.

I usually visit https://portal.office.com and select the one drive icon. On the landing page of OneDrive, click on the option called shared. All the files shared by you or shared with you can be viewed from here.

3- Files stored in Microsoft Teams (credit goes to Amanda Sterner)

You can also find recent files when you look under FILES on the left side navigation in Microsoft Teams desktop app(the download option is not available in the online version).

Under Recent, you will see the recent files you have opened as long as it is the same organization. This means even if you open a file directly from e.g. Word (that’s saved in either SharePoint or OneDrive) it will show under recent here.

Under Microsoft Teams, you can see all files you have opened that is saved in a team in Microsoft Teams and Downloads will link to all downloads you have finished on the current computer.

Under Cloud storage, you will find your OneDrive and all of its content. If your admin approves it you can add more cloud storages than OneDrive, this means if your organization works with Dropbox, Box, ShareFile or Google Drive as well as Office 365 you can reach those documents from Microsoft Teams.
